Role Description
We are seeking a Grant Administration Analyst - Remote (prefer candidates in Holliston, MA or Austin, TX) who is responsible for the accounting and coordination for multiple sub-entities of Hanger, Inc., related to the acquisition and fulfillment of government grant projects throughout the full grant lifecycle. These duties include:
- Monthly grant financial activity analysis and administration with respect to government agencies.
- Overseeing functions related to payroll preparation and tracking.
- Managing daily office functions such as purchasing and facilities and general administration needs.
- Awareness of federal and state laws and regulations pertaining to accounting and government research funding.
Your Impact
Accounting Functions:
- Timely processing of A/P, A/R and G/L entries for financial statement preparation by the accounting team.
- Timely preparation of payroll data for necessary time and effort tracking for labor distribution certification.
- Timely review, analysis and summary of monthly research grant financial transactions for allowability, allocability, reasonableness, budget availability, proper approval, consistent treatment, and adequate supporting documentation.
- Monitor grant expenditures against approved budgets and periods of performance; research variances, identify potential compliance issues, and support corrections or budget revisions as needed.
- Prepare and/or support monthly reimbursement requests, invoices, cash drawdowns, financial status reports to sponsors, and other required grant financial submissions.
- Support the setup of new grant awards in the Quickbooks accounting system.
- Liaison between research and accounting/finance teams and adjust project tracking for items such as re-budgets.
- Input and output information, data, and financials between local business or department ERP systems and corporate ERP systems as needed.
Grants Administration Functions:
- Support the development and submission of grant proposals including budget development, document drafting and execution, and grant portal navigation.
- Monitor and maintain active registrations with various government entities (eRA Commons, Grants.gov, etc.).
- Establish and maintain grant award files to coordinate grant administrative functions.
- Monitor contract timelines and modifications including amendments, extensions, and budget modifications.
- Maintain audit-ready documentation for all grant activity to manage required financial audits.
- Assist in ensuring compliance with grant-specific rules and regulations.
- Support subrecipient, contractor, consultant, and vendor administration.
- Track grant-funded equipment, supplies, and other property purchased with government funds.
- Coordinate grant closeout activities, including final financial reports and record retention.
- Coordinate with project leaders, accounting, payroll, legal, procurement, compliance, human resources, external auditors, and government agency contacts.
Miscellaneous Functions:
- Oversee general office functions to maintain a positive and productive work environment.
Qualifications
- Bachelor’s degree in Research Administration, Business Administration, Accounting, Public Administration or related field.
- Professional Certification in Research Administration (Certified Research Administrator; CRA/CPRA) preferred.
- 6-8 years of experience in Grants Administration/Management and Accounting/Bookkeeping.
- Experience with federal, state, or local government grants.
- Experience with financial and accounting software - QuickBooks experience preferred.
- Familiarity with ERP systems such as Oracle.
- Audit support experience preferred.
- Must have, or be eligible to obtain, a valid driver’s license and driving record within the standards outlined within Hanger’s Motor Vehicle Safety Policy and Procedures.
Requirements
- Knowledge of grant preparation and administration, program monitoring, budget development, accounts payable/receivable, and procurement.
- Strong written and oral communication skills.
- Proficiency in financial management systems (e.g., Oracle and Quickbooks) and tools such as Excel and Smartsheet.
- Ability to interpret complex regulatory language and translate it into operational procedures.
- Familiarity with general payroll and accounting/bookkeeping practices.
